Privacy policy

ArktIQ Coach stores only the data needed to provide the coaching service. We never sell your data, and we never share it with third parties for marketing or any other purpose.

Who can use ArktIQ Coach

You must be 13 years of age or older to create an account, and you confirm this when you sign up. If we learn that an account belongs to someone younger, we delete it and its data.

What we store

  • Your account: email address, optional display name, timezone and language.
  • The date you confirmed you are 13 or older.
  • Your password - stored only as a strong one-way hash (argon2id), never in plain text.
  • Your goals, plans, activities, completion history and metric registrations.
  • Notification preferences, in-app notifications, and - only if you enable push - the push subscription for your browser.

Where it lives

All data is stored on servers located in Finland, hosted by Hetzner. Your data does not leave the EU/EEA. We keep the servers and the application updated with security patches on an ongoing basis.

Third parties

We do not sell or share your personal data. Two services act purely as delivery channels on our behalf: transactional emails (account verification, password reset, reminders you opt in to) are delivered through our email provider, and push notifications are delivered through your browser vendor’s push service. Neither is used for marketing or tracking.

Sharing a program with buddies

You can choose to share a program with people you pick, through invite links you create and hand over yourself - one link per person. Accepting one lets that person see a fixed summary ofthat program only: its catalogue name, your current level, this block’s adherence, your day streak, the last fourteen days as done/missed markers and the badges earned on it - and send you a nudge from a short list of fixed phrases. They never see your setup answers, measurements, notes, notifications or other programs, and they cannot write anything to you. Either of you can end the share at any time; deleting an account ends every share it was part of. Nothing is shared unless you create the link.

What administrators can see

ArktIQ Coach has an operator panel. An administrator can see your account (email address, optional display name, when you registered, when you were last active), the sign-ins on your account, which programs you are running and which badges you have earned. Programs are named from our own catalogue - “Bodyweight training at home” - never from anything you wrote.

An administrator cannot see your goal targets, your starting values, your measurements, your notes, what you have checked off or the contents of your notifications. There is no way for an administrator to log in as you or to browse another account’s data through the app: the operator panel returns a fixed, deliberately narrow set of fields, and an automated test fails our build if anything else is ever added to it.

Every time an administrator opens or deletes an account, that is recorded and is visible in the panel. Those records keep account identifiers only - after an account is deleted, the record shows that a deletion happened, not whose it was.

In the interest of being straight with you: this is a limit built into the application, not cryptography. Whoever operates the servers can technically read the database, as is true of any service that schedules reminders for you or computes your progress while you are away. Protecting data against the operator itself would require encrypting it with a key only you hold, which would make those features impossible. We would rather say this plainly than imply a guarantee we cannot keep.

Retention and deletion

We keep your data for as long as your account exists. You can permanently delete your account and all associated data at any time from Settings → Danger zone → Delete account. Deletion is immediate and irreversible. What survives it is the operator record described above, which by then holds an account identifier that no longer refers to anything - we keep it so administrator actions stay accountable.

We also clean up accounts nobody uses any more. If you have not used ArktIQ Coach for 6 months, we email you a reminder that the account is heading for deletion. After 9 months without any use - and never less than four weeks after that warning was sent - the account and all its data are deleted permanently. Logging in is enough to stop this at any point: it resets the clock and cancels the warning. If we are unable to send you the warning email, we do not delete the account.
